Figure

Three words that are not synonyms

An estimate is your best current guess, offered as a guess, and it can change if the work changes. A quote is a fixed offer: if the client accepts it, that is the price for that scope. A fixed price or lump sum is a quote with the scope tied down hard enough that neither side expects movement.

In several jurisdictions this distinction has legal weight: a consumer who accepts a quote is generally entitled to that price, while an estimate that rises substantially may need to be re-agreed. The details differ by country and by whether your client is a consumer or a business, so do not rely on a rule you read online for somewhere else. What is universally true is that the client will remember whichever number you said first, and will experience any increase as a broken promise regardless of which word you used.

The practical consequence: if you do not know the scope, do not issue a number for the whole thing. Quote a small first stage firmly, and say plainly that the rest will be quoted once that stage tells you what the job is.

What a quote actually contains

Eight things, on one or two pages. Anything longer is a proposal, which is a different document with a different job.

  1. What you understood the problem to be, in two or three sentences, in their words. This is the most important part and it is usually missing. It gives them a chance to correct you before money is at stake, and it is the document you will both return to when there is a disagreement about scope.
  2. What is included, listed concretely: the deliverables, the formats, the quantity of each. “Three logo concepts” and “one logo concept with two refinements” are different products at different prices, and the difference must be visible.
  3. What is not included. Explicitly. Photography, copywriting, printing, illustration, additional languages, ongoing changes. The exclusions list prevents more disputes than any other paragraph.
  4. How many rounds of revision are included, and what happens after them.
  5. The schedule, with what you need from them and by when. Client delays are the main cause of missed deadlines, and a dated dependency converts “you’re late” into “the copy arrived three weeks after the date we agreed”.
  6. The price, and what it covers.
  7. The payment terms: the deposit, the stages, the due period, what happens if payment is late.
  8. How long the quote stands. Thirty days is normal. Without it, somebody will accept a quote next March at last year’s price.

Three options instead of one

Presenting a single number invites a yes-or-no answer, and the no is final. Presenting three related options changes the question from whether to which, which is a conversation you are far more likely to survive.

A structure that works for most creative work:

  • Option A: the narrow version. The core deliverable, minimum variants, one round. The cheapest defensible way to solve the stated problem.
  • Option B: the recommended version. What you actually think they need. Usually 1.5 to 2 times A.
  • Option C: the extended version. B plus the things that would help: more applications, a usage guide, a second language, a period of support afterwards. Often 2 to 3 times A.

Two things make this work rather than feel like a sales trick.

The options must differ in scope, not in quality. Never offer a worse version of the same work at a lower price. Option A is not “the rushed one”; it is a smaller, complete, honestly-delivered piece of work. If you would be ashamed to have Option A in your portfolio, it should not be on the page.

Say which one you recommend, and why. “I would take B: the extra variants are what stop you paying somebody to redraw this for the delivery bags in six months.” You are being hired for judgement; withholding it to seem neutral wastes the main thing you have.

Part of the effect is anchoring: a single price is judged against whatever the client imagined, while three are judged against each other. Knowing that is a reason to build the options honestly rather than to build a decoy.

Where the numbers come from

The options must each be costed from your own floor rate and your own estimate of the hours. The three-option structure is a presentation of real prices, not a substitute for calculating them.

The most common error is pricing Option A at what you think the client will accept and then working backwards. That produces a smallest option you lose money on, which is also the one clients under budget pressure choose most often.

The practical details

Send it as a PDF, not as text in an email body, because a PDF is a fixed artefact that can be attached to an agreement later. Name the file with your name, the client’s name and the date.

Put a version number on it. Quotes get revised in conversation (“could we take out the packaging and add the website”) and after three rounds nobody remembers which version the price refers to. Quote-v3-2026-03-14.pdf costs nothing and settles arguments.

Attach your terms, or link to them. A quote is an offer; the terms turn acceptance into an agreement.

For producing the document itself: any word processor exports a clean PDF, and LibreOffice Writer or Google Docs are entirely adequate. A quote does not need to be designed. Some people build one in their layout software so it looks like their portfolio; it is a small and harmless flourish, but it changes nothing about whether it is accepted, and a beautifully set quote with a vague exclusions list is worse than a plain one with a precise one.

The limitation

A good quote document does not protect you from a client who does not read it. Many will not. They will look at the number, say yes, and then be surprised in week four that photography was not included, even though it is in the exclusions list they were sent.

The document’s real value is not persuasion: it is that it makes the conversation in week four short and unemotional, because there is a shared written record of what was agreed. Say the important exclusions out loud as well, once, in the call where you present it. Ten seconds of speech does more than a page of text.

Every lesson here is open. Your progress is recorded once you pass the Making It Say Something exam.

Check your understanding

A designer offers three options: A at £900 for a wordmark and palette, B at £1,600 adding eight applications and a usage sheet, C at £2,800 adding a second language and three months of support. She prices A at what she thinks a nervous client will accept rather than from her own hours. What goes wrong?

Pick the one you would defend. Your answer stays private.
